Before a client deployment
The business and client must establish controller/processor roles, lawful bases, retention and deletion settings, security controls, provider contracts and international transfer arrangements. A DPIA is required where the planned processing is likely to be high risk. Appointment details can themselves reveal health information; avoiding clinical advice does not remove data protection duties.
For UK targeting, assess UK GDPR territorial scope, any representative requirement, ICO fee obligations, PECR and marketing rules. EU AI Act responsibilities depend on the actual system, role and use; AI disclosure alone does not satisfy every obligation. Staff AI literacy and a documented risk assessment belong in deployment planning.
